View format tab

On the View formats tab, you define whether users can create or edit their own view formats or must use predefined default formats.

This tab lists all default view formats.

Double lists and multilists are not shown; for these, the default view formats of the corresponding data record type apply. Users will not be able to modify these view formats unless they have the necessary rights. Changes made to default view formats afterwards do not affect the view format of a twin list that has already been created.

You can find the default view formats on the View formats tab of the Settings window in the desktop client. A user will only be able to view or edit these settings if they have the necessary rights.

Show/hide preview is not a view format. As a result, the rights for view formats do not apply to it.

If you select more than one user, you can then configure the settings for all these users simultaneously. For example, you can set specific view formats for specific departments.

After the installation and for new users, the Create and edit personal view formats setting is set as default.

For the Administrator user, the Create and edit personal view formats option is set, as the settings for the View formats tab are also available with administration rights. If you want the view formats to be predefined by the administrator, select Create and edit personal and public view formats in the drop-down list.

If users cannot create and edit personal view formats, you should provide at least one view format for each data record type.

If users have not been assigned rights to edit navigators, they will also not be able to edit view formats for list views. This also applies if rights for view formats exist.

Procedures and prerequisites

You can create default view formats in a number of different ways:

Thus, the Public and use as default options are always automatically activated and cannot be changed.

You can also create a new view format in the Management Console. This is then an public default view format which you can set as default for users.

The desktop client is recommended for the creation and changing of default view formats, both for you as administrator and also for users with the respective rights. Only with the desktop client, it is possible to check whether the view format of a list also matches the requirements.

You can create a default view format for each data record type. This view format is used if no other view format has been selected for a list.

Users can also set default view formats if the administrator permits it.

Public view formats can be used by all users. Users can also set public view formats if the administrator permits it.

However, only an administrator is allowed to create and modify public default view formats. This is regardless of the rights a user has. The administrator can edit public default view formats in the Management Console and in the client once he or she has logged as an administrator.

In the client, view formats can be edited directly in a list so that all settings can be checked directly.

In order for you to be able to set up view formats in this tab, there must be public view formats available.

Select the User management area

Click the Properties button on the toolbar.

The Properties window opens.

Rights for view formats

The user can still make changes to the list with the mouse. These changes cannot be saved in the view format and are lost when the list is closed.

Default view formats

The Default view format list shows the default view formats for each data record type.

Edit Opens the View formats window.

In this window, all edit functions are available.

Default setting means the public view format which is defined as the default format for this data record type is set.
