Number assignment

Data record types can be assigned a number. Users can view the field in the corresponding data record window or in the list and can decide whether this number is to be created automatically or not. With the automatic number creation, each data record is assigned a unique ID and can easily be identified.

The automatic number assignment can now be set for each data record type if the corresponding GWAUTONUM field is available in the database. If a field does not yet exist, then you can create one in the Database area.

If you activate the checkbox for Automatic number creation, a number is automatically entered when a user creates a new data record. This function is only available in the Premium Edition.

As administrator, you define the number elements in the Number assignment tab. Numbers are then created following these settings.

As you can assign automatically created numbers to different data record types, the different data record types can consist of different number elements.

On the tab you can see an example which corresponds to your definition.

Record number elements

A data record number can be composed of different components. Common elements such as prefix, counter and suffix are predefined.

Data record type: you can define an automatic number creation for each data record type in this drop-down list.

automatic creation: if this option is activated, a number is automatically entered in the field when a user creates a data record. To use this function, users must have Write rights to this field. Users can change the automatically created number manually.

New: clicking this button adds an extra row in which a further element can be defined as well as the configuration within the number.

Delete: select the desired element of the number and click then the Delete button.

Up/down - sort order: by entering a number, the sort order of the rows and therefore the order of the number components is defined. If you set the cursor to another row or if you confirm with Enter, the new sort order will be displayed.

Number component column: here you can enter a description of the number component for your personal structure.

The Value: column contains the content of a number component. Here you can enter a text or number. If you enter a text, the input cannot be changed and you cannot make an entry in the Counter column.

A number entry is only determined if no input is entered in the counter column.

The number entry is the first value of a consecutive numbering, provided that the Counter column contains a number value. This indicates the incrementation value. After each number assignment, the value is automatically increased by the counter value. When setting up the system, you can enter a value as start point for the counting. When working with CAS genesisWorld, the last assigned address number is displayed.

The Counter: column defines the operator for continued numbering. After each number assignment, the value is automatically increased by the counter value. You can only enter a value if a number has been entered in the Value column.
