Membership tab
Open the Membership tab in the Properties window and then add a user to one or more groups.
Group members with full rights can see each other when selecting participants. If participants can see their names they have at least reading-rights to the data records of the other group members - except for private and confidential data records.
If a member of a group has fewer rights than the other members, he or she will not be able to select users as participants or view the other group members' data.
If, by being a member of different groups, a user is assigned different rights, then the highest rights apply.
- You open the Properties window by clicking on the corresponding button in the toolbar of the User folder.
- Click Add. The Select users/groups window opens, showing all existing groups. Select the group(s) to which you want to add the user.
- Click Remove to remove the user from the selected group. This group will then no longer be shown in the upper pane of the Membership tab.
- Click one of the groups in the upper pane of the tab. In the lower pane, select the rights the current user is to have in this group.
Examples
- Mr. Jones is a member of the Support and Sales groups. Being a member of the Support group means he has the right to view Sales addresses. And as a member of the Sales group, he has the right to save Sales addresses. The Write right is the highest of the two, which means Mr. Jones can save these addresses.
- As members of the group, user A has full rights and user B has only read-only rights. If user A now makes an appointment, adding the group as a participant and assigning it full rights, then user A has full rights to the appointment and user B has read-only rights. This means that if groups are added to a data record as participants, some group members may not have the same rights to this data record as other group members.
Standardizing properties
Some groups often have similar areas of activity and should therefore have the same rights.
To standardize the properties for a number of groups, select the desired groups, click Properties and then set the desired properties.
During replication, the system takes into account the domains to which the groups are assigned. You may be prompted to enter the administrator password of another domain. Laptop users can only change groups that are in their laptop domain.
- Select several groups from the list.
- Click the Properties button. The corresponding window opens.
All properties which can be applied to one or more groups are displayed in the window. This includes, for example, settings on the General tab or for rights.
Groups and rights
- The rights a user receives through group membership may add to their existing rights and to their external access rights.
- Users may receive higher rights to a data record if a group is a participant of this data record and this user is a member of this group.
