New data record action
With the New data record action of a rule, you can create a new data record.
Examples
- Create a phone call with a customer if certain conditions are to be met.
- If a new customer appointment is created for the conference room, delegate a task to the employee responsible to prepare the conference room.
- If a new hardware must be ordered for a IT task, create a new task for the purchasing department.
Actions for the same data record type can only be created if the new data record does not qualify for the filter criteria of the monitored data records. Otherwise, the new data record may result in a data record creation loop because the rule conditions always apply.
Procedure
- First, select the Data record type of the new data record.
- When creating a new data record, the system automatically enters the user who has created the rule as a participant.
If you are logged on with the Administrator account when creating the rule, you should change the participants.
In the Add participants field, you select specific users as the participants of the new data record.
- In the Field values table, enter the values of each field for the new data record.
With Set, the Value of change is entered for the selected table field.
- With Set in relation, a time value is set in relation to the entered time of the event, for example, "x days plus" the entered date.
- As an administrator, you can also use the input helps for groups if you are not a member of the respective groups.
