Automatic functions for documents
Automatic functions are available for letters, form letters and e-mail campaigns.
These automatic functions refer to the entry in the Document language field of a document and the corresponding entry in the Gender field for addresses.
In that way, you create letters, form letters and e-mail campaigns with form of addresses, salutations and texts using input help options in several languages in exactly one language: the language of the document.
Also important for the automatic functions for letters, form letters and e-mail campaigns: the address fields that are used as mail merge fields.
Usually, documents already contain templates in which mail merge fields and field variables for business communications are already entered.
How exactly does it work?
Document language
The entries in the Document language drop-down list in documents require that the language packages are installed by the administrator.
Language packages are installed for all languages with which you can log on to CAS genesisWorld. The drop-down list for the selection of languages in the logon dialog shows you which languages are available.
It may be that a language in which you cannot log on to CAS genesisWorld has been set in the Document language field of a document or a document template. You will receive a notification when opening the document data record.
- Select then in the Document language field a language with which you can log on to CAS genesisWorld.
- Save the document data record.
Now you an open the archive file.
Document template and automatic functions
Letters, form letters with Microsoft Word and e-mail campaigns are always based on a template.
- If a template contains text, select the language from the Document language drop-down list.
- If you set the view format accordingly, you will see the language of a template in lists and also in the Create document from window.
- If you create a new document with a template, the document language will be adopted from the template.
The names of the mail merge fields are displayed in language in which have logged on to CAS genesisWorld.
Salutation matching the document language
The Salutation field in addresses receives the corresponding entry depending on the Country field of these addresses. If you use the Salutation field as a mail merge field, then the value entered under address is used for a letter, a form letter or an e-mail campaign.
If you write, for example, an English letter, form letter or an English e-mail campaign and send it to multiple recipients from different countries, then the salutation will be inserted in different languages. In such cases you should use the Salutation in document language mail merge field.
The salutation is inserted automatically depending on the value in the Document language field of the document data record. The Salutation field of addresses will be ignored. This means that the correct salutation will be entered in the matching language also for company or other address data records, even if the Salutation field is empty in the address.
If input help fields are available in multiple languages and they can be used mail merge fields, then the document language is taken into consideration.
The following rules apply for transferring the salutation:
- In the recipients' addresses, the Gender field must be filled in.
- In the document of the letter, form letter or e-mail campaign, the Document language field needs to be filled in.
Information and settings for you as user
Field variables always exist in one language. The Document language field does not have an effect if you use field variables as mail merge fields.
- Create each field variable in each language in which you write letters, form letters or e-mail campaigns.
- Enter then the matching field variable in the matching document language and/or in the template as mail merge field.
What does the administrator define?
The administrator defines pre-defined values and settings which can be enhanced if required.
- Many input help options in CAS genesisWorld are available in all languages in which CAS genesisWorld is available. If more input help options need to be created, the administrator can define those.
- You can only use multilingual input help options if the corresponding language packages have been installed by the administrator. In the language drop-down list of the CAS genesisWorld logon dialog you can see with which languages you as user can work in CAS genesisWorld and which language packages are installed.
- Many assignments, for example, for the first name and form of address or country, gender and salutation are saved in special files. The administrator can customize and enhance these files.
