Rights for actions

Three rights settings are important for new actions. They are defined by the administrator in the Management Console:

If a user has the Edit actions (public) right, and they also happen to be the administrator, then all functions are possible with actions.

Administrator rights

Using the Administrator right, users have the following options:

If the General favorite option is active, then the Active favorite option is also automatically active.

Editing actions (public)

Using this right, a user has the following options:

In the Actions drop-down list, you will see this user's defined favorites on display.

Actions using the General favorite option are displayed in the Action drop-down list for users who have at least one right to actions.

Editing actions (private)

Using this right, a user has the following options:

Entries marked like this, will then appear in the Actions drop-down list for this user.

Completing actions

With the Edit/execute actions right, a user has the following options:

The update itself takes place simultaneously for all marked data records and the individual data records do not have to be opened.

Data records only updated if the user has been granted the sufficient ownership and external access rights.

No rights for actions

If a user has neither administrator rights nor action rights, then only the following is displayed in the Action drop-down list: Create task, Schedule phone call and Create opportunity.

Example

The Complete task (public) should be available for all CAS genesisWorld users. The Add deputy as participant action is useful for managers who need to organize deputies in their absence.

Robert Glade is the administrator and has the Edit actions (public) right.

All users with the Execute action right see Complete task (public) in the drop-down list, and can execute this action.

Robert Glade can now insert his deputy into all data records with just a click of the mouse.

Colleagues who have the Edit action (private) right, can load the Add deputy as participant action from Robert Glade, but then enter their own deputy and save the action as a favorite for themselves.
