Access rights levels

Basically, Owner rights and External access rights exist as different types of rights and different levels of access rights can be assigned for both types.

Some essential differences exist between owner and external access rights:

Furthermore, general external access rights can be differentiated for all users and special external access rights for a single data record.

Per default, CAS genesisWorld Web and the Mobile apps display less access rights levels than the Desktop Client. However, CAS genesisWorld Web and the Mobile apps display the same level of access rights as the Desktop Client as soon as such a level has been set in the Desktop Client.

You cannot assign more rights than you are given yourself.

The administrator can define the access rights levels that are displayed in the Desktop Client and which levels the users can set themselves. The Personal, Read and Full rights levels are always available.

Levels of ownership and external access rights

The following levels are equal for owner and external access rights. The rights you have on one level apply to the next higher level and additional one more right.

The times for Appointments, Jobs, Phone calls, Holidays and Tasks can be changed. The change can be done in a calendar view and also after opening such a data record via a list or view.

The required level in the Management Console is the Move right.

Users with full rights can also delete data records from the recycle bin.

Additional level for general external access rights

General external access rights apply to all data records of a user and are either defined by the administrator or by users themselves. These rights are limited through specific external access rights for a single data record.

Users with this right can view the end and start times of other users' data records in a calendar view: Appointments, Jobs, Phone calls, Holidays and Tasks. But they cannot open these data records.

The user has rights to other users' data records for which Confidential is set as external access right.

Additional levels for specific external access rights

The following levels can be set as special external access rights for a data record and limit general external access rights.

Private data records can only be viewed by users who have been entered as participants. Data records can be marked as private when a higher level of privacy is required; for example, for private documents or an employee appraisal, or for other private documents.

Only participants have access to the data record with the respectively set owner right and users with the general Access to confidential external access right have access to the participants of the data record.

An exception is made for private or confidential appointments or jobs in calendar views. Private and confidential appointments or jobs are displayed for other users in the calendar, however, they are marked with *No access*. If a user is not a participant in a data record, then start and end time of the appointment or job are displayed. If your administrator has set corresponding rights and external access permissions, then the participants will be displayed.
