Deactivated entries folder

Deactivated entries are users or resources that have been created in the system. If a license is restricted to a certain amount of users or resources, those deactivated entries are not included in the number of counted licenses. The default user is usually deactivated and does not require a license.

Deactivate or Empty groups are displayed in the Empty groups folder in the User management area and are still also displayed in the Groups folder. Empty groups are marked with this icon. You deactivate groups by removing all members of a group.

Deleting personal data of deactivated users

You can delete all personal data of deactivated user accounts.

On the one hand, this personal data includes personal settings, such as navigators, view formats, e-mail accounts, and so on. On the other hand, all data records to which no other user has ownership or external access rights are also deleted.

Deletion is final, once deleted the data cannot be restored. For each selected deactivated user account, a one-time deletion job is created that is executed in the background.

The logs of the executed deletion jobs are displayed on the Status tab under Service jobs in the Database area. The type and, if applicable, number of data records deleted is entered in the logs. References to the contents of the data records are not displayed.

Important information

Further settings, such as the assigned other rights, are not deleted and retained if the user account is reactivated.

Deleting personal data

Open the User Management area.

Open Deactivated entries.

Persönliche Daten löschen - Click the Delete personal data button in the toolbar.

A window opens which informs you about the finality of the deletion job.

On the following page, you can see a list of the user accounts whose personal data is supposed to be deleted.

Important to know

Deleting this data can take some time. Especially for user accounts which contain lots of personal data records, in which case, it may take several hours.

If a service job has not finished before a server break, then the service job is resumed after the server break. Two logs will be available for such service jobs.
