Search window
This is how you open the Search window.
- In the Search menu, click Global search, or
click the corresponding icon, or
- press the F 3 key. You can change this shortcut key combination on the Search tab in the Settings window.
Your most recent searches are listed on the right side of the Search window. Click on one of the listed searches to repeat the search.
- In the Search tab, you search specific data of a data record type, for example, addresses, tasks, or all data record types.
- In the Advanced search tab you enter the filter conditions for a search.
- The Link search enables you to search within a tab for linked data records. This function is only available in the Premium Edition.
Inputs, settings and other important information
Search area
- Select the data record type from the drop-down list for which you want to search data records.
- The In all areas feature, searches all the data record types. The results of this search are displayed as a multilist.
Fields to search in
In the Fields to search in drop-down list, you can select which fields you wish to search.
- The order in which search terms are entered does not matter.
- Please make sure that the first 3 characters of a word are entered correctly, as the program always refers to the beginning of the words.
Special characteristics with phone numbers
The system will only be able to find phone numbers entered in the international format if you have deleted the leading zero.
- Use a wildcard character such as %72196380.
Special features of states
Very often states within a federal system have differing names, for example, Bundesland in Germany, Kanton in Switzerland or, Federal State in the USA. Address data records display the corresponding name depending on what country format you set for the address.
To enable you to find all addresses, we have incorporated the State/Region field into the search function as a filter parameter.
Individual search
You conduct an individual search if you define the fields you want to search.
Search term(s)
The more precise your search item, the better the search results you will receive.
Please make sure that the first 3 characters of a word are entered correctly, as the program always refers to the beginning of the words.
You can also enter search items with special characters, especially if you are using Unicode.
Searching for multiple words
If the Fields to search in field displays several fields, the search item may consist of more than one word. For addresses the default setting is Name, Company, Town/City.
- Enter, for example, Master and Software as Search terms.
Now, the program finds all data records in which the fields Name, Company, or Town/City start with Master. The system also finds data records in which at least one of the fields starts with Master and at least one starts with Software.
- If you have entered terms separated by comma in the Fields to search in field, for example, Name, Company, City/Town, then you have to make a special entry.
Searching phone numbers
You can search for phone numbers by country or city/town.
- Enter the first numbers. The percentage sign is automatically added. For example, by entering 0041%, you receive all addresses with Swiss phone numbers or by entering 0721%, you receive all addresses from Karlsruhe.
Searching town/city
For towns you can enter either the first letter of the name or the first digits of the postal code.
Advanced search
In the Advanced search tab you enter the filter conditions for a search. The data that matches the filter conditions is searched.
The program searches in data you have defined for Search in.
Link search
With the link search, you search for data records which are linked with certain data records.
This function is only available in the Premium Edition.
Go to the Link search tab and enter filter conditions for certain data records. Define for which links of the respective data records you want to search that match the filter criteria.
Search options
With the Search options, you define whether you want to search your own data records or those of other users too, you can also define how you want the search results to be presented.
The Search options set for a data record type are saved when you close the window.
Search results
Depending on the option selected your search results are either displayed as a dossier, list or as a multilist. The multilist is used when you search across all data record types or areas.
The same buttons that are usually available for views are also available for lists and dossiers. You can further process the search results right away and, for example, create CAS genesisWorld short notes, write an e-mail, or link data records. In this list view you can also enter a filter for the list to limit the results of the search.
The size of the dossier and result list can be changed.
You can only save your search results as view if you have received the necessary rights for navigators from the administrator.
Functions in the tools menu
Save search result as view: a new view with the settings for your current search is entered in the Search results folder of the program navigator. If you have checked the Display results as a dossier under Search options, a dossier is created, otherwise a list is created. The settings for the search are entered as filter conditions in the dynamic filter of the view.
This option is only available for an advanced search.
Save selected records as a view saves the selected data records as new view in the Search results folder of the program navigator. The selected data records are entered in the static filter.
You can change this view in the view properties.
Settings opens the Search tab of the Settings window.
