DocumentPort
With DocumentPort, any documents in CAS genesisWorld can be archived quickly and easily. We recommend working with the DocumentPort when importing several documents into CAS genesisWorld.
Click Start on the Windows taskbar and select Programs > CAS genesisWorld > CAS genesisWorld > DocumentPort.
Through automatic key word assignment you can transfer lots of documents all at once.
- Drag files to the DocumentPort window with drag and drop.
The wizard is easy to use.
You can enter a key word schema for mass archiving so that the key words of the data record are entered automatically.
Planning mass archiving processes
Make sure that your scheme of subjects contains at least one variable element (counter / name of file) or all document records will have the same subject. This makes searching for a document rather difficult.
Classify your documents before mass archiving e.g. as follows.
- group A: The individual documents in this group are essentially different in topic.
this case it is recommended to use only the file name as distinctive feature in the scheme of key words. Since there is no common subject for all documents it is hardly necessary to have the documents numbered consecutively.
- group B: The individual documents share a common topic.
In this case you can enter the shared topic as free text in the key words schema and have all the documents numbered consecutively (with counters). As an additional criterion, you can use the file name in the key words scheme.
GTF files contain saved views or multiple data records.
Importing GTF files
- Files with a GTF suffix can be imported by pulling them over to the CAS genesisWorld icon on your desktop using drag and drop.
A window opens.
- Click OK to start the import.
- Should the GTF files contain duplicates, you will be see a security prompt. You can cancel the import, view the data records or import the data records anyway.
The import of GTF files can result in duplicates in your data stock. It is recommended using links to data records (GBT file) as e-mail attachments within a CAS genesisWorld installation: in the e-mail window, open the Insert menu and click Add attachment > Add CAS genesisWorld data record as link.
