Transfer the document into the archive this function becomes available when a document data record has been saved with a file reference. To transfer the file to the document archive, open the Edit document window and click Transfer document to archive on the Tools menu.
Remove document lock: the Document lock prevents the simultaneous editing of archived files by two or more users. If you open a document that has been opened by another user, you receive the message "[Name] is editing the document and access is therefore locked".
You can then only open this document in read-only mode, which means you cannot edit it.
If you urgently need to edit a document that is currently being edited by another user and you are unable to reach this user, you can remove the lock: in the Edit document window, open the Tools menu and click Remove document lock.
This means, however, that any changes the other user has made to the locked document will be lost.
Overwrite archive file: If you want to replace or update a document data record's archive file, you have to open the Tools menu in the Edit document window and click Overwrite archive file. The Change archive file window will appear in which you can select a new file.
Export archive file opens the "Export archive file to" window. Here you can choose where you want to save the archive file. By doing so, you create a copy of the archive file from the Document Archive. If you make changes to the exported archive file, these changes are not applied to the CAS genesisWorld document record.
In a document list you can open a document's archive file (in read-only or editing mode) using the drop-down list. This allows you to quickly open the archive file without having to open the CAS genesisWorld document data record.
Open file in read-only mode opens the archive file in read-only mode.
If you click the Open file button, the archive file will open in read-only mode.
If the document has not been saved in the Document Archive, the Edit document window will appear.
To Edit launches the corresponding application and opens the archive file, which you can then edit.
If the document is being edited by another user, then you will be notified accordingly.
Once you have saved or closed the archive file in its application and return to CAS genesisWorld, the document data record will then open.
In the CAS genesisWorld document data record you can now change, for example, the subject or the category.
An archive file can be any type of file that you can create on your computer, including ZIP files. Very large or many large archive files can adversely affect the performance of CAS genesisWorld.
The administrator can limit the maximum size of archive files that can be saved in the Document Archive. If you attempt to save an archive file in the Document Archive that exceeds this size limit, a message will appear. In this case, you have the option of saving the document data record with a link to the file.
You may find that you have opened and edited an archive file, but can no longer save the document data record because the archive file is too large.
