Automatic functions for addresses
Different fields are automatically pre-filled, depending on your entries in other fields.
Some fields are completed automatically if a field does not contain any entry.
A previously made entry for the Form of address and Salutation fields is overwritten if
- the previous value matches a pre-defined value
- and you change, for example, gender, country or first name
- and this results in a unique new pre-defined entry for Form of address or Salutation.
Pre-defined values and manual entries
- You can overwrite each automatically pre-defined value for gender, form of address and salutation. If several entries can be defined, the first matching value is entered which you change via a drop-down list.
- Entries in the Country field are always made by selecting values from the drop-down list. If an entry does not match the available entries of the drop-down list, addresses may have been imported or not updated over a longer period. Then the automatic functions cannot be applied.
- If you change the values in the First name, Last name or Gender fields, then new pre-defined values are entered - if the current values are identical to the originally pre-defined values. If the previous value was entered manually, the entries are not overwritten.
How exactly does it work?
First name, Gender, Form of address and Country
- In the Country drop-down list, select the entry for these addresses using the input help options if the pre-defined value is not correct.
When creating an address, the default entry for Country is the Country (default) value that has been set in the Settings, in the Addresses tab.
The Gender field is automatically entered for individual contacts and contact persons.
The Form of address field is automatically filled in.
- If you leave the Gender field empty or select Other (e.g. for a transgender person) you manually enter the form of address.
The following rules apply to automatic functions for gender and form of address:
- If the first name can be allocated to a woman or a man, then the male or female value is entered in the Gender field.
- Matching the gender and the Country field of the address, the Form of address field is filled in for many countries.
- If a first name is saved that is not clearly identifiable as male or female, then the Gender and Form of address fields are not completed.
The administrator can also define a form of address and/or salutation in the Gender field for the Other option.
Country, Gender and Salutation
The Gender field must have been already filled in.
The Country field must have been already filled in.
The Salutation field is automatically filled in.
You use this field in e-mail campaigns and in form letters with Microsoft Word as mail merge field.
The following rules apply for automatic functions for the salutation:
- The Salutation field will be filled in matching the gender value and the Country field.
- Default values for the salutation are available for the following countries in standard edition: Germany, Austria, Switzerland (German values), Hungary, Italy, Spain, the United States, the United Kingdom, the Netherlands, Turkey, Romania and the Czech Republic.
Preferred language and multiple official languages for one country
In various countries, more than one official language exists, for example, in Switzerland or in Belgium.
You can still complete the Form of address and Salutation fields automatically. Here, country and gender as well as one more field are taken into account. This may be the Preferred language field.
To include more official languages, your administrator has to perform specific customizations. Please contact your administrator for more information.
The Gender field must have been already filled in.

- Select from the Preferred languages drop-down list the official language which you want to use for this address.
Now the following rules apply for automatic functions for form of address and salutation:
- The Form of address and Salutation fields are filled in matching the gender and the Preferred language field.
- If no matching value for form of address and salutation is found for the country in the Preferred language field, the pre-defined values for Gender and Country are filled in.
Information and settings for you as user
- When creating an address, a value is entered in the Country field. You define this default as Country (default) in the Settings window on the Addresses tab
What does the administrator define?
The administrator defines pre-defined values and settings which can be enhanced if required.
- Many input help options in CAS genesisWorld are available in all languages in which CAS genesisWorld is available. If more input help options need to be created, the administrator can define those.
- You can only use multilingual input help options if the corresponding language packages have been installed by the administrator. In the language drop-down list of the CAS genesisWorld logon dialog you can see with which languages you as user can work in CAS genesisWorld and which language packages are installed.
- Many assignments, for example, for the first name and form of address or country, gender and salutation are saved in special files. The administrator can customize and enhance these files.
