Linking data records
The buttons for linking data records can be found in the calendar, in list views or also in open data records.
You have several options to link data records:
You can use the New link option if an existing data record is to be linked with a data record that still needs to be created. A new data record will then be created and linked to the already existing one.
You can use the Link with button if you want to link two existing data records with each other.
Examples
You might be in the middle of a telephone call with a customer.
Linking with a data record that is not yet available
Let's say you are making a phone call to coordinate the agenda of an appointment. You want to record the caller log in a Phone call data record. The phone call is to be created newly and linked to the address of the customer.
- Before you conduct the call, you search the address and open it, for example, by double-clicking it.
Go to the Insert menu or the toolbar and click New link > Phone call. The New phone call window opens.
- Enter the desired data, for example, Subject, Topic and the results of your coordination in the Notes field.
- Save the phone call. The new phone call is now linked to the address.
- If you press the Ctrl key when selecting a data record type with the New link function, a window for template selection opens.
The existing appointment should be linked to the customer.
Linking available data record with each other
You have already scheduled an appointment for a customer presentation in your calendar. You want to link this appointment with the customer's address.
- Open the respective appointment, for example, with a double click.
Click Insert in the menu or Link with on the toolbar
With SmartSearch
The field becomes a search field if SmartSearch is active.
- Click a data record which was found, a link is entered using the General link type.
Alternatively, you can press Enter if you have defined the First hit on the Search tab of the Settings window.
- You can select other link types via the child entries in the list of hits. In this case, the we do not recommend you use the enter key.
Without SmartSearch
- In the Insert menu or the toolbar, go to Link with > Address. The Search window will open.
- Search for the address to which you want to link the appointment.
- Select the desired address in your search results.
- If link types are available for a data record type, select them via the Link types drop-down list in the lower pane of the Search window.
- If you want to link the address and search for more data records you want to link, click the Link & Next button.
- If you want to link the selected data record and close the Search window, click Link & close.
The appointment is linked to the address.
Drag and drop to link is easy if the respective data records are already open.
Linking with the drag and drop operation
A customer calls you to inform you that another business partner wants to join the scheduled appointment.
- Open the appointment of the customer.
- Open the address of the business partner.
Go to the address toolbar and click the Link icon to start the linking operation with drag and drop: click the icon and press down the mouse key.
- Drag the mouse pointer in the data record window of the appointment.
- Confirm the security prompt. The two data records are then linked.
Alternative option
- You may have opened a list with addresses that also contains the address of the customer you want to call.
- If so, you can select the address of the customer in the list and drag the data record to the data record window of the appointment, for example in the taskbar.
You can link multiple data records simultaneously with other data records.
Linking a number of data records at once
In a list you can select several data records. This allows you to link a group of data records with another group of data records in one step.
You have scheduled several coordination appointments with different customers. Now you want to link a number of addresses with a number of appointments.
- In the program navigator, click on a list of addresses.
- Now select the addresses you want to link.
- Open the Insert menu, click Link with and then select the desired data record type. The Search window opens.
- Select several entries from the list of search results.
- Then go to the Search window and click Link & Close.
Now you have linked a number of addresses with a number of data records in just one step.
And, if a data record has been linked by mistake, you simple delete the link.
Deleting links
You can delete links either in the Dossier tab of a data record window or in the Dossier view in the navigator.
- Select the links which you want to remove.
Click the Delete link icon.
If you want to delete a link in a Dossier view, this link is immediately deleted after you have confirmed the security prompt.
A link in the Dossier tab is only then deleted if you save the opened data record.
You always delete only the link – the two data records that were connected through the link will not be deleted.
Deleting links depending on the maximum right
If two data records are linked to each other and a user has different rights to these data records, then the maximum right applies. If, for example, a user has read rights to the data record A and full rights to data record B, full rights apply. This also means that you can insert a link if you have at least editing rights to one of the data records, and it does not matter from which data record you create the link.
