Creating letters/form letters
Cover letters in the form of letters, form letters, offers, and so on can all be created in CAS genesisWorld and Microsoft Word.
Microsoft Word is connected to CAS genesisWorld via an add-in.
CAS genesisWorld Word add-in
If you have installed the CAS genesisWorld Add-In, an additional toolbar or tab is inserted into Microsoft Word. Using the options now available to you in Microsoft Word you can insert mail merge fields and create form letters.
By installing the Microsoft Word add-in you can then transfer data from CAS genesisWorld to Microsoft Word documents; for example:
- Data from recipients from addresses
- more data from linked data records and
- field variables such as your signature, your name, your telephone extension and so on.
The add-in is usually installed automatically using CAS genesisWorld. Please contact your administrator for more information.
You can create cover letters a number of ways. The following steps serve as an example for creating form letters. The process of creating a letter for one recipient (e.g. an offer) is similar.
Creating data records
- Select the recipients' addresses, for example, in an address list.
Click Create document.
The Create document from window opens.
- Select the template for your cover letter in CAS genesisWorld.
The Create document window opens.
The selected addresses are automatically linked with the new data record.
- Enter field values for Subject, Participants, and so on and save the data record.
Defining the form letter collation
- In the Tools menu of the document data record, click Form letter collation.
The Select form letter collation window opens.
- Select Default collation if you want the individual letters sorted by postal code, company, and name.
- If you want to define the collation yourself, select Define collation.
Click the button behind the Sort fields field.
A list with all address fields opens.
- Double-click the search field by which you want to sort.
- Afterwards, you can define Ascending or Descending as sorting direction for this field in the sorting column.
- Repeat the last two steps for all fields by which you want to sort and save your changes by clicking OK.
- Click OK in the Select form letter collation window to save your settings.
Editing form letters in Microsoft Word and creating cover letters
Click Open file for editing.
The file opens in Microsoft Word.
- Open the CAS Word Add-In tab in Microsoft Word.
On this tab, you can define various Settings, insert Mail merge fields, Insert address fields, Replace field variables, and Create form letters.
Click Create form letter to create the cover letter and replace the fields with corresponding field values.
When creating e-mail campaigns, the settings for the short date format are adopted from the Windows operating system for displaying the date.
