Functions for primary links

The use of primary links is supported by different functions.

Basic settings are made by the administrator in the Management Console. Depending on these settings, all or some of the following functions are available:

• Data records contain the Parent field in which primary links are displayed and entered.

Parent links

If you link data records with New link or Link with, you can select whether you want to create an unspecified link or a primary link.

A new primary link is then displayed in the data record window of the respective window.

The field becomes a search field if SmartSearch is active.

In this case, you can enter a general link using via the Link with search field. You can select another link type from the search results list using your mouse, for example, the Primary link entry.

• If you want to view a list of all linked documents, open the Tools (or the shortcut menu) and click Linked documents.
• Type and Status of an address are displayed in a phone call if the address is entered as primary link in a phone call data record.

Example
In addresses of the Type Leads, you can select Negative, Positive or Neutral in the Status field. If a user enters a primary link to such an address in a phone call data record, the Type and Status fields from the address are then displayed in this data record. This information is displayed and you do not have to open the address data record. If you change the Type and Status fields of a phone call, these changes are applied to the address.

The administrator can deactivate this option.

• If you archive e-mails, you can also enter primary links.

• Archiving e-mails

• If you create a task, a phone call or an opportunity as an action, primary links are taken into consideration. This means, that primary links are automatically entered if they are possible.

For example, you create a phone call as action for a selected task and the task contains primary links.

Primary links are then adopted to the phone call. And the parent address with the primary link will thus be also linked to the phone call. This address is then automatically participant of the phone call action.
