View format tab
On this tab, you can define the View format, for example, for a list view or dossier and can create or edit view formats.
Rights for view formats
The following navigator rights can be set for users.
- Without navigator rights, view formats cannot be edited.
- Do not change view formats This means that the user has to use the view formats set by the administrator. You can change a list temporarily even if you do not have view format rights.
- Using Create and edit your own view formats you can display the respective functions in the clients.
- With Create and edit your own and public view formats you can also save public view formats for others.
Public Default view formats can only be created or edited by your administrator. Your administrator creates a public Default view format for each data record type and sets it as either changeable or unchangeable.
- This Default view format is used if no other view format has been selected for a list. Examples of this are the display of hits in the Search window or the contact persons in a company data record.
- If your adminstrator has given you the permissions to do so, then you can set default view formats for yourself.
You can display or hide the preview for a view, because to do this you do not require view format rights.
Current view format displays the view format which is being used for the view.
- The View formats button, opens a window of the same name, in which you can create, edit and configure view formats.
- The functions for Available fields, sorting and so on are the same on the View format tab and in the View formats window
- With Display preview, you define whether and when the contents of the Notes field are displayed for a selected data record.
In lists with archived e-mails, the e-mail body is displayed as preview.
- After activating Display preview for documents, an additional options will be available: Display extended preview. With this and depending on the document type, the following content will be displayed:
A preview of the archive file,
the linked file for a document data record with a reference or
the respective page for an internet address.
If an extended preview is not possible, the contents of the Notes field are displayed.
- The view format for lists with addresses contains the Highlight default e-mail and default phone number option.
If the option is activated, any fields which have been marked as Default in the contact data are displayed in bold in lists.
- You can change a list view temporarily even if you do not have view format rights.
