Import/Export - Source/Target: Text file
- You open the detailed settings for the import and/or export with the Advanced button.
- The settings are kept, even if you hide the display with the Hide button.
- If you have saved the settings made in the wizard after an import or export, you can load them with the Load settings drop-down list.
Export
- At File name, enter a name or select a folder and a file via the button. Certain special characters must not be contained in the path and in the file name, for example, spaces.
- At Format, specify which character you want to use to separate the columns and/or fields in the file.
- When selecting CSV (comma separated), a semicolon (;) is automatically entered as Separator. CSV files can usually easily be further processed, for example, with Microsoft Excel.
- With Tab delimited, <TAB> is automatically entered as Separator for a tabulator.
- Select Personal format (custom delimited) for a different separator.
Enter then a character in the Separator field. We recommend to use a unique character, which is normally not used in the exported data, for example, #.
With Tab delimited and Personal format (custom delimited)
- Select the character set.
- Activate the First line contains headers option if the names of the fields and/or columns are to be contained in the first row of the exported file.
- Activate the Use the column names from the database option if you want to export field names of the database. If the option is not activated, the Field titles, the names of the fields, are exported.
Import
If you import addresses as TXT or CSV files, no special characters are to be contained in the field names or column titles in the first row of the file. Special characters include: ä, ö or ü and also ß, &, punctuation, spaces, hyphens and so on. Only numbers, letters and the underscore (_) are permitted.
Before importing it is checked whether invalid column names are contained in the file.
- Select a folder or file via the button. Depending on the settings in the Format drop-down list, you can either select a CSV or TXT file.
- If you set CSV (comma separated file) at Format, you can select a CSV file at File name.
- If you set Tab delimited or Personal format at Format, you can select a TXT file at File name.
- The Separator will automatically be entered when selecting CSV (comma separated file) and Tab delimited.
- When selecting a different separator, you select Personal format and enter the Separator.
- You can choose between ANSI or OEM as a character set for the import.
- Activate the First line contains headers option if the file contains column titles or field names in the first line.
Import addresses of a certain type
Importing addresses as individual contacts
, Importing addresses as company contacts
, Importing addresses as a company / contact person
If you want to import companies and assigned contact persons, the data to be imported must contain the fields gWIsCompany, gWIsContact and a key field.
If a data record is specified as contact person, the corresponding company is searched for using the key field and the contact person is entered.
Import addresses as employee data records
The export of addresses as employee data records is not possible, only the import.
If you Import addresses as employee data records, this may have several effects:
- The imported addresses are created as new addresses in CAS genesisWorld.
Please note that duplicates may be created.
- The field or the is employee option or gWIsExmployee is activated.
- Each newly generated address is assigned to the Default user.
This assignment cannot be influenced by the import.
- The Employee data tab is displayed in the Desktop Client for each imported address. This tab also displays the assigned user directly after the import, that is, Default.
- The assignment of an address to a user can be changed in the Desktop Client of CAS genesisWorld and in the teamWorks portal.
The assignment can only be changed by the administrator.
Several criteria must be met before you can import addresses as employee data records:
- The option for employee data records is only displayed in the wizard if a teamWorks license is entered in the Management Console.
- Furthermore, the Manage employees right is required. This right is defined in the Management Console by the administrator in the Properties window of a user. In the Roles tab, the right can be assigned with the Change rights button.
