Online meetings for Microsoft Teams can be created and organized with CAS genesisWorld.

Creating online meetings

Now, when you save an appointment, an online meeting is created automatically in Teams.

After changing and saving an existing online meeting, the meeting is also updated in Microsoft Teams.

The integration of Microsoft Teams is unidirectional: All changes in CAS genesisWorld are transferred to Microsoft Teams. Changes in Microsoft Teams are overwritten by any changes made in CAS genesisWorld when these changes are retransferred.

After you have created a meeting in Microsoft Teams, the link to the meeting in Microsoft Teams is entered in the Notes field of the appointment data record in CAS genesisWorld.

Groups as participants are transferred with the appointment into Microsoft Teams where they are then dissolved and the individual participants are subsequently invited by Microsoft Teams.

All the internal and external participants of a saved appointment are invited through Microsoft Teams to the online meeting.

Online meetings are identified as such by a special icon in the calendar view.

Participating in meetings

You will see the Participate drop-down list displayed on the toolbar in the data record window for an online meeting appointment.

Alternatively, you can copy the link from the Notes field.

Participants responding to online meeting invitations do so via e-mail using iCal files which are sent via Microsoft Teams.

For this function to work, that is, that you can send and receive such e-mails, your administrator has to have activated invitation management for you. Furthermore, the corresponding settings in the desktop client need to be defined.

Please note

The administrator has to have defined the settings for online meetings in the Management Console.

If the Online meeting option is activated and the appointment is saved, the option can no longer be deactivated.

If an existing appointment has been organized via the invitation management feature, then this appointment can be transformed into an online meeting. After you activate the Online meeting option, the appointment is cancelled via the invitation management function. A new online meeting is created in Microsoft Teams and the participants receive an e-mail containing the information for the online meeting.

The Online meeting option cannot be activated if appointments are synchronized via Exchange sync.

If an error message is displayed when saving the online meeting, for example, CalendarID unknown, please contact your administrator.

When deploying replication functions, you have to consider some additional aspects.
