E-mail attachments
There are different ways by which you can add attachments to e-mails.
You will only be able to use the commands for adding multiple attachments if your administrator has assigned the necessary rights.
Functions of the Attachments menu
- Use the Attachments menu functions.
Compress (Zip)
- Insert the desired attachments in the e-mail window.
- Then select the attachments you want to compress, go to the Attachments menu and click Compress (Zip).
When using this function, you do not need a program like WinZip as CAS genesisWorld contains the compression functionality. The e-mail recipient who wants to unpack the files needs a program to extract Zip files on his PC.
Add file
- The From Windows file option opens the file selection box.
- From CAS genesisWorld document opens the Search window.
Search for the document data records. The archive file of a document data record is inserted as attachment, not the data record.
- The CAS genesisWorld data record (.gtf) option opens the Search window.
Search for data records.
This function inserts CAS genesisWorld data records as GTF files. Please note that you might create duplicates when working with GTF files.
- CAS genesisWorld e-mail (.eml) inserts an e-mail in .eml format.
- The vCard from CAS genesisWorld address (.vcf) option opens the Search window.
Search for addresses. The selected addresses are transformed to VCF files and added as an attachment.
Add Windows link (.lnk)
With this function. you insert a reference link to a folder or a Windows file as attachment.
Please note that the e-mail recipient also needs access to the file or the folder in order to open the link.
The Windows file selection box opens.
Add link to CAS genesisWorld data record (.gbt)
With this function, you enter references to one or more CAS genesisWorld data records as a GBT file.
The e-mail recipient can only open a reference if access to the same CAS genesisWorld database is available.
GBT file attachments can contain references to one or more data records in the Desktop Client.
If you attach a GBT file and use it for a single data record, then a link to CAS genesisWorld Web will also be inserted automatically.
- Select the desired data record type.
The Search window opens.
Paste file from clipboard
You add a file as attachment that is currently in your clipboard.
More functions for attachments
- Alternatively, drag the file using drag and drop, for example, from your desktop or from Windows Explorer to the e-mail window.
In the majority of views, clicking Send on the toolbar opens a drop-down list in which the Send CAS genesisWorld data records function is available.
With this, you create a new e-mail and add the selected data records from the view as attachments.
- The same Send CAS genesisWorld data records function also exists in the context menu for selected data records.
- Select an archive document and click Send CAS genesisWorld data records/CAS genesisWorld documents as attachments in the Tools menu, or in the context menu.
Thus, you can add an archive file of a CAS genesisWorld document data record as an attachment to an e-mail.
- You can also send iCal and vCard as e-mail attachments.
- To delete an e-mail attachment, select the attachment in the e-mail window and press the DEL key.
Saving and archiving attachments
The options available for saving attachments depend on the type of attachment and e-mail.
E-mail attachments while online
Open: opens the attachment with the application that is linked with this file type.
Save as opens the file selection box. Select in which folder and under which name you want to save the attachment.
If an e-mail has more than one attachment, the attachment that is saved is the one that is displayed in the drop-down list.
Archive attachment: Select this option to archive an e-mail attachment as a CAS genesisWorld e-mail, document, task, or appointment.
E-mail attachments in offline mode (offline e-mails, archived e-mails)
If an e-mail is archived as an e-mail, the attachments are archived with the e-mail.
On the other hand, if an e-mail is archived as a document, appointment or task, then the attachment is archived as a document data record and linked with the document, appointment or task.
Displaying attachments
The attachment of an opened e-mail is displayed when you drag and drop it onto a browser window.
