Importing and exporting data

In CAS genesisWorld, users have a number of options for exporting and importing data.

Please note

You cannot import participants to a data record. This applies to all data record types and all kinds of import. Even if you select and assign the Participants field when importing a CSV file, the participants will not be included in the respective data records.

Users require special rights if they want to import or export more than one data record to or from CAS genesisWorld. Only then will you have access to the respective functions.

These special rights do not apply to the CAS genesisWorld e-mail client if you want to send files from folders or directories outside of CAS genesisWorld.

Besides the direct export and import rights, rights are also available for data protection functions.

• Special rights for data protection

Before exporting data from CAS genesisWorld a window - depending on the administrator's settings - opens in which you have to enter your password for CAS genesisWorld. This query has been implemented to ensure that your data in CAS genesisWorld is secure.

The entering of your password is also required if you have already opened CAS genesisWorld and you are logged in. The password you need to enter must be your CAS genesisWorld password, even if you otherwise log on with your CAS genesisWorld Windows user account.

You define the CAS genesisWorld password in the Settings window, in the General tab.

Exporting without rights

In general, you can export a single data record from CAS genesisWorld without rights. This also applies to creating form letters, e-mail campaigns, for drag-and-drop and so on.

The following functions are possible without special export rights:

Exporting with rights

Individual rights for exporting data refer to multiple functions. After calling one of the following functions, you may have to enter your CAS genesisWorld password.

Exporting data to special formats (e.g. GTF, vCard)

• You can export one or multiple selected data records as GTF files. For this purpose, you can also use the Send button for e-mails.

  GBT and GTF files contain views of CAS genesisWorld data records, which you can save to a data carrier (for example, hard disk drive or a network drive) or which you can send by e-mail.

  A GTF file contains saved views or data records. A GBT file contains a link to a view and more data records from CAS genesisWorld.

• E-mail attachments

• You can export one or multiple addresses as vCards.

Copying & pasting and drag & drop

• You can copy data records you have selected in lists to the clipboard, for example, using Ctrl + C. In the Edit menu, you can access the Copy and Cut functions.
• In the dossier, Copy dossier is available in the context menu.
• The data records from a multilist can be copied to the clipboard.

• Using the drag and drop context menu, you can copy data record as TXT files to the desktop.
• Using drag and drop, you can copy data records to another program such as Microsoft Word or Microsoft Excel.

• The Export function for the import/export wizard is displayed in the File menu.

• The Export to Excel function is displayed in the Tools menu or in the context menu of the selected data records in lists.

Special case: E-mails and attachments

If users receive or create e-mails in CAS genesisWorld, these e-mails are not CAS genesisWorld data records. E-mails are saved on the e-mail server and users access the e-mail server when using the CAS genesisWorld e-mail client.

• E-mail: online, offline or archived

CAS genesisWorld rights can only be checked for CAS genesisWorld data records and functions and are only valid for these data records and functions. This has the following implications for e-mails and attachments.

• You can archive both e-mails and attachments even if there are several attachments to the e-mail. In doing so, you create CAS genesisWorld data records and thus import more than one data record.

• Archiving e-mails

• If you create an e-mail and then attach CAS genesisWorld data records, your rights for exporting data are considered.

Whereas without rights, you would only be able to attach a single CAS genesisWorld data record using the CAS genesisWorld e-mail client. This data record could be an address, an appointment or another CAS genesisWorld data record, regardless of the format whether vCard, iCal, GTF or with drag and drop, and so on.

Without rights, you can also attach any number of files from folders or directories.

• E-mail attachments

With export rights, you can insert more than one CAS genesisWorld data record as an e-mail attachment.

CAS genesisWorld rights cannot be checked for external CAS genesisWorld data as well as data for, or on, the e-mail server.

Importing data with and without rights

The following functions can be executed by each user without having special import rights:

• Importing appointments as iCal files for one or more appointments in CAS genesisWorld.

• You can import documents using drag and drop or the DocumentPort. You can do this for individual or multiple documents.

• Importing addresses as vCard files for one or more addresses from a folder or an e-mail.

The following functions are only possible if you have the necessary rights:

• The Address Wizard is available in the program window and for e-mails.
