Creating/editing distribution lists

A distribution list is a collection of addresses you can use, for example, for an e-mail campaign. Distribution lists are an own data record type and offer all standard functions available for data records in CAS genesisWorld. You can also create list views or dossiers for distribution lists.

The functions for writing to everyone on a distribution list and for printing addresses are only available if you have been given the necessary rights by your administrator.

Important information

The behavior of fields and the way they are displayed depends very much on the edition you are using, and your administrator's settings.

Please note

The addresses in a distribution list are not linked with the distribution list. By clicking New link and Link with, you link distribution lists with another CAS genesisWorld data record. These linked data records are then displayed in the dossier of the distribution list.

If documents, such as form letters or e-mail campaigns, are sent via a distribution list, the documents are automatically linked with the distribution list.

General tab

On the General tab, you enter general information on the distribution list data record and add addresses to the distribution list.

This field contains an editor.

Distribution list status

You use the distribution list status to record the current processing phase of the distribution list.

The Distribution list status field can contain the following values:

Adding addresses

On the lower pane of the window on the General tab, you can find a list containing all addresses of the distribution list.

 Using the Add address(es) button, you add addresses to the distribution list.

The field becomes a search field if the SmartSearch is active.

Without SmartSearch, the Search window opens in which you can use the following two buttons to accept addresses after a search.

Click the Apply & Next button to add the selected addresses to the distribution list. The Search window remains open.

Click the Apply & Close button to add the selected addresses to the distribution list and close the Search window.

Using the Remove address(es) button, you remove the selected addresses from the distribution list.

Click the New address button to create a new address which is automatically contained in the distribution list after saving.

Using the Add distribution list button, you can add the addresses of other distribution lists to the current distribution list.

The field becomes a search field if the SmartSearch is active.

Without SmartSearch, a window containing the available distribution lists opens. Select one or more distribution lists. Addresses in these distribution lists are then added to the current distribution list.

Using the Remove distribution list button, you can remove addresses of other distribution lists from the current distribution list.

A window containing the available distribution lists opens. Select one or more distribution lists. The addresses from the distribution list(s) are removed from the current distribution list.

Reports opens a window in which you can select a report template.

Special functions for distribution lists

Special functions are available for distribution lists, for example, creating distribution lists from list views.

Additional tabs

On the Dossier tab, the links of the distribution list to other CAS genesisWorld data records are displayed.

The Distribution list tab on the Change log tab logs when an address has been added or removed from a distribution list.
