If you insert the Address rows 1-7 as mail merge fields into a letter or another document such as a report, then all the mail merge fields are inserted simultaneously for a complete postal address either at home or abroad.
The mail merge field is available for business, supplier or private addresses. Address rows for these addresses can also be inserted individually.
The address is created individually for each letter. Depending on the address there might be fewer than 7 rows for the address.
A suitable postal address either national or international is created according to 2 conditions: the Country field is included in the address data record and the country of the sender from the Country (default) settings.
The recipient's country is then inserted if the sender's country differs from that of the recipient.
If the Country field in the address data record has been completed for a recipient abroad, then this setting is valid. Otherwise, the Country (default) settings is used.
The country of the sender is always determined by the values in Country (default).
In addition, the address fields are then ordered according to the norms for the recipient's country. When you create the document in Microsoft Word, a German template is used for German addresses, whereas an English template is used for English addresses, and so on. The same document used for recipients from Germany, England and the Netherlands will then contain the correct postal address structure particular to that country.
Address rows 1-7 content is formed from the individual address fields which are contained in the address data record. This structure can be changed by your administrator according to your company requirements.
Form letter salutations can be created automatically or you use a custom salutation for certain cover letters.
Default values can be inserted into salutations by using automatic processes.
You can formulate custom salutations for contact persons or individual contacts. For example, for recipients who are well known to you or special contacts, you may have entered values in the Salutation field such as "Dear Colleague..." or "Dear Business partner...".
If you use the Salutation in document language mail merge field, then the Gender field and the Document language fields are automatically included when entering the salutation.
If you insert the Address header element as a mail merge field into a cover letter, then all the mail merge fields for the letter header will be inserted at the same time.
Address header content is formed from the individual address fields when used as mail merge field. Your administrator can change the content of the gWAutoText.dot file to better suit your company requirements.
If you insert the Salutation row element into a letter, the form of address and either the name of the recipient or company is also inserted - this depends on the recipient's address.
