Users will require special rights to different functions and data record types so that they can use the duplicate check functions. Your administrator assigns the corresponding rights in the Management Console.
To merge duplicates, users require at least rights to the Addresses data record type and all the fields included in the data record.
The administrator defines via the Cleaning options tab, whether the Read right to the Addresses data record type is sufficient to merge duplicates; the administrator can also define that users need at least the Edit right to the corresponding data record. If you activate the Strict rights check when merging duplicates option, users must at least be granted the Edit right to the affected addresses or fields when merging duplicates.
If addresses are not user sensitive, then all the respective addresses are public. All CAS genesisWorld users can merge duplicates for public addresses if they have been granted at least Read rights to the Addresses data record type. You as administrator can assign access rights to data record types in the Properties window of users, in the Rights tab.
If addresses are user sensitive and the Strict rights check when merging duplicates option is activated, then the external access rights of participants and external access rights to the respective addresses are taken into account when merging duplicates. The access rights are also taken into account for private addresses.
If you as administrator have set special rights for users which apply to specific fields for a data record type, then these rights will also be taken into account when merging duplicates. You as administrator assign special rights to specific fields of a data record type in the Properties window of a user via the Rights tab, Details function.
If users do not have the Read or Edit rights to specific fields, then some duplicates can still be merged by users without rights:
Users with special rights can merge duplicates for multiple addresses using the Merge duplicates function in the Tools menu of the program window and if they are using certain modules in their company or they have activated duplicate checking for addresses.
Your administrator defines the settings to determine whether or not a duplicate check runs for the existing CAS genesisWorld addresses when importing addresses. This is done in the duplicate check settings on the Search options tab.
The Duplicate check function is not an independent duplicate check function which checks the current address data stock. Any duplicates which the user does not merge when saving the data record are not displayed afterwards in the Merge duplicates window.
There are a few specifics you should know about if you have enabled the duplicate check when importing address data.
Users must have the Merge duplicates right to use the respective function in the Tool menu. You as administrator assign the Merge duplicates right in the Properties window for users, in the Other rights tab.
To permanently merge duplicates, you may require the additional Read and/or Edit rights to addresses.
