Team calendar: sharing calendar views

When is your colleague available? When are all the colleagues of your division available? When is the meeting room available? Using the Team calendar, you can see the available time slots of individual or multiple users and resources in CAS genesisWorld.

You cannot display groups in the team calendar. Using the View Wizard, you can create a calendar view for a group by selecting the Team tab in group.

Team calendar functionality is only available if you have been granted sufficient rights from your administrator. For more information, ask your administrator.

Opening the team calendar

Select a user or a resource with the help of the drop-down list in the upper right-hand corner above the monthly overview.

Alternatively, you can enter one or more users or resources into the drop-down list input field. Separate the individual users or resources using commas. In many cases, you will not need to write out the full name. Clear inputs are enough, for example, the first two letters of a first name and the last name.

After you have selected the desired users or resources, you will see the Team calendar field displayed above the calendar area and it will contain the name of the user or resource you are searching for.

In the calendar area, you see the appointments, phone calls, jobs and holidays of the selected user or resource. The data records are displayed using your calendar view settings.

If you wish to remove a user or resource from the team calendar, click the icon next to the user or resource name in the Team calendar field.

Additional functions

Additional functions are available for users and resources in the team calendar. If you place your cursor over a user or resource name in the Team calendar field, then a small window will open. You can access the following functions in this window.

Clicking the Send e-mail button for a user will send an e-mail to one of the e-mail addresses entered for that user.

Clicking the Call button for a user, starts a phone call.

Clicking the Display calendar button, opens the user's or resource's daily view.

The functions available to you, are dictated by the rights you have been granted and also by the available data. So for example, if a user does not a telephone number in their contact data record, then the Call button will not be displayed.

Setting different colors

If you define different colors for both your own and external data records, you will profit from a more structured calendar view.

Required team calendar rights

To view the data records of other users in the team calendar, you will require external access rights such as Read to the respective user's activities. As as you have opened the team calendar, then both your external access rights and also your data record owner rights are taken into account. You can change data records in the team calendar if you have external access rights to them, or if you have been entered as a participant for the respective data records.

Team calendar view

If you want to use a team calendar permanently, then you have to create a team calendar view using the View Wizard. When doing so, you can also select a group on the Team tab in the calendar view properties. Such a calendar view always displays the data records of multiple users, groups, and resources.

The Team calendar field is also displayed in a team calendar view. You can remove users and resources from the team calendar using the same method as for other calendar views, that is by clicking the respective buttons next to the user or resource names.

The next time you open the team calendar view, all the users and resources will be displayed again which you defined in the view properties.

Permanent changes to the displayed users and resources are made over the Team tab.
