Configuring e-mail accounts
An e-mail account is configured with a wizard. If multiple e-mail accounts are available, then you should define one of them as the Default account.
The administrator defines whether users are allowed to create or change e-mail accounts.
- Your administrator creates e-mail accounts in the Management Console for those users who do not have rights to e-mail accounts.
- Your administrator can also designate an e-mail account as being a default account, if users have created e-mail accounts themselves, or are allowed to change them.
- Personal folders cannot be set as default accounts.
If you wish to create or change an e-mail account yourself, then you need to ask your administrator for the following: Name of the inbox, name of the e-mail server, and the port number and so on.
If an e-mail account has already been set up on a computer, then multiple fields will be displayed as a drop-down list. The also applies, for example, to the e-mail address or the inbox server, which means you can select the inputs without having to type them in.
Setting up e-mail accounts
On Tools menu, click Settings.
- Select the E-mail tab and then the E-mail accounts tab.
You will see any available e-mail account and their functions displayed on the tab.
- New account opens the Setup an e-mail account Wizard.
- Select an e-mail protocol for the account on the first page of the wizard.
You cannot change the e-mail protocol afterwards. If you want to use another protocol, you have to create a new e-mail account.
- After creating an account, you change the wizard settings via Properties on the E-mail accounts tab.
Working online with the E-mail server and working offline without the server
- Using the Internet Message Access Protocol (IMAP) an e-mail account in CAS genesisWorld has a connection to a mailbox on the e-mail server.
You manage the e-mails in this case via CAS genesisWorld directly on the e-mail server.
- For e-mail accounts using IMAP, you can configure whether or not you want the e-mails on the e-mail server to be saved as copies in a local folder or whether they should be saved to a network folder on your company network, you do this after creating the account in Properties on the Manage e-mail accounts tab
If saving has been suspended, then you will be able to access e-mails faster and use the offline mode for the account.
- For Personal folders in an e-mail account, files with e-mails are saved to a local folder or a company network folder.
Personal folders are always offline, because there is no connection to an e-mail server.
IMAP
Name of the e-mail account
- Enter an unique name for the e-mail account.
- In IMAP activate whether you wish to use this account as your Default account.
Private folders can not be used as default accounts.
You have a number of options when defining a default account. The respective settings overwrite each other. The last setting always applies.
- In the Setup an e-mail account Wizard you can activate the respective option on the Name of the e-mail account page.
In the Settings window open the E-mail tab and then the E-mail accounts tab, now mark an e-mail account and click the Use as default.
- Or you mark an e-mail account on the E-mail accounts tab and then click Properties. In the following window you can activate the option on the General tab.
E-mail address
When working in a company, you usually have a personal e-mail address that has been entered for your CAS genesisWorld user account by the administrator. You cannot change the e-mail address entered for your CAS genesisWorld user account, neither when creating an e-mail account, nor when retroactively changing the account properties.
In the Desktop Client, allocated e-mail addresses for user accounts are displayed in the Settings window on the General tab under Saved e-mail address.
If you yourself can create further e-mail accounts, then you can enter and change the contents of the E-mail address field.
- Enter an E-mail address including the @ character into the field.
- the Sender name will be displayed for the recipient. The field can contain the name including all special characters and hyphen as well as, for example, titles such as Dr. Britta Glatt.
- Enter the e-mail address that the recipient should reply to in the Reply to field. It is usually the same address as under E-mail address.
Server information for the e-mail account
You can define the same settings for the Inbox server and the Outgoing mail server.
- If the Use this e-mail account only for sending option is activated, you can only define settings for the outgoing mail server.
For this kind of account, you need to keep some special considerations in mind.
- Enter the name or IP address of the Inbox server and Outgoing mail server for the e-mail account.
- When using Encryption via StartTLS or SSL, the name and password for logging on to the CAS genesisWorld e-mail client are encrypted and transferred to the e-mail server.
The text body of the e-mail will not be encrypted. If you want to encrypt the text of the e-mail, you can define a corresponding setting on the Security tab in the e-mail account properties.
- If you click the Default button, the predefined default values are automatically entered into the Port field. Please contact your administrator for more information.
- Using an Authentication method, you can authenticate the e-mail account for the e-mail server. Logon name and password are protected whether you are using encrypted or unencrypted transmission.
After you have selected None, CRM-MD5, or NTLM, you need to enter the password for the e-mail account either in the wizard, in the e-mail account properties, or when accessing the e-mail account for the first time.
After you have selected OAuth2, you need to authenticate the account for the OAuth2 provider in the wizard, the e-mail account properties, or when accessing the e-mail account for the first time.
If OAuth2 is selected for the inbox server and outgoing mail server, you need to define the same logon name and OAuth2 provider for both servers.
- You need to activate the The outbox server requires authentication option if you want to send e-mails using the e-mail account.
- By clicking Use the same settings that are used for the incoming mail server, you do not need to define further settings.
If you activate the Outgoing mail server requires authentication option, you can enter the same or different values as for the inbox server.
- The Other settings button opens the Internet protocol settings window. Usually, you do not need to define any settings in this window.
Logon information for the e-mail account
The
Logon name for the inbox server is usually the e-mail address including the @ character.
- Enter a Password or select an entry in the Provider (OAuth2) field.
The Provider (OAuth2) drop-down list is displayed if you have selected the OAuth2 entry in the Password authentication area in the Server information for the e-mail account.
The Password field is displayed if you have selected another entry in the Password authentication field. The Password is encrypted and saved in the CAS genesisWorld database. Please contact your administrator for more information.
E-mail settings for automatic refresh
If you open CAS genesisWorld only for short intervals, it can be opened faster without the settings for automatic functions. When using automatic functions, you do not have to wait until your e-mails are loaded when opening the inbox.
- If you activate the Log on to the server automatically option, you will be automatically logged on to the e-mail account on the e-mail server when CAS genesisWorld is started.
If the option is activated, e-mail views are updated immediately after the start of CAS genesisWorld.
If the option is not active, the update starts only when you access your e-mail account. For example, the inbox is only refreshed when you open the respective e-mail view.
- With the automatic update and refresh option, the e-mail views are updated and you will be notified.
If you want to use the updating and notifying function, you must be logged on to the e-mail server automatically or manually.
Finish the setup of the e-mail account
- Clicking Finish completes the setup.
- With the Send a test e-mail option, a test mail is sent to the e-mail address and all the settings are checked
Sending a test-mail is not possible for a personal folder.
Personal folders
- On the Name of the e-mail account page, you can enter an original name.
- On the File path for the person folder page, you can select a local folder, or a company network folder to which the e-mail files will be saved.
- You determine which folders or views should be displayed in the navigator for this e-mail account, you do this after creating the account via the account Properties.
