Phone calls: Who? What? Where? and When?
Using the Phone call data record type, you can save all your outgoing and incoming calls including the call duration, the reason for the call, as well as any other relevant information such as for example, status.
You can make phone calls in CAS genesisWorld using the phone call integration in the Desktop Client, for example, the integration transfers phone numbers to your telephony system. Settings for internal calls and calls abroad are also possible.
When you call or are called, the address can open a phone call or the call back list.
Most of the automatic phone call functions are not possible without the telephony integration, this is also explained in each of descriptions for the functions.
Important information
The behavior of fields and the way they are displayed depends very much on the edition you are using, and your administrator's settings.
Which fields and tabs are displayed?
The fields and tabs displayed in your version of <Product> can deviate from the descriptions in help document. The display is dependent upon the edition, the add-on modules being used, and individual customizations such as those made by the administrator. This can result in either more or fewer fields and tabs being displayed, or the names and definitions of fields and tabs deviating from the descriptions found in the Online Help.
The fields and tabs displayed in a data record can also change, when you select certain entries in the Type field.
Special characteristics of mandatory fields
Mandatory fields are an option data records. Please keep special considerations in mind if you, for example, import data which use the replication function or other modules.
Special functions for phone calls
Managing phone calls quickly and easily
Missed calls
If you miss a call, a phone call data record is created and saved. The following functions are only available with the telephony integration.
- On the toolbar, click Call back list.
The Missed calls window will open, this displays a phone call data record for every call.
In the Missed calls window, activate Move to background.
The window is closed and, a phone call icon is displayed on the system tray. A new phone call is signaled with an icon animation.
- Double clicking the icon open the window again.
- Alternatively, you can create a Missed called list view using the view wizard.
Forwarding phone calls
The following functions are only available with the telephony integration.
- When a colleague forwards a call to you, the phone call window opens containing your colleague's data.
- If a colleague hangs up, another phone call window opens containing the data of the original caller.
- In this case, you will have two phone calls. The first data record window has to be deleted.
- If you do not display the Phone call window or the call back list upon incoming internal calls, only the Phone call window of the intial caller is displayed for you.
Finding similar phone numbers
A caller's phone number could not be clearly assigned in CAS genesisWorld.
- In the phone call window, you will see this directly beneath the tabs Address was found via similar phone number.
In the Address quick info field, the address will have been entered with the similar phone number.
- Or several addresses were found with the same phone number and all entered in the Address quick info field.
When closing the Phone call window, an inquiry opens and you will be asked how you want to handle the addresses.
- If several addresses are entered in the Address quick info field and, you respond with Yes, then a list containing all the addresses is opened.
- Mark the desired address and select either Enter address in address quick info or Create new contact person.
The list will open when you open the search in the Phone call window
Transform phone calls into another data record type
- Click Transform to in the File menu of the data record window.
The following menu shows you which data record you can create from the open data record.
Contents of the shared fields are copied to the new data record whereas the original data record is deleted.
- This function can be activated by drag and drop, i.e. by dragging a data record from a list to another list or to the calendar.
- Appointments, tasks, jobs or holidays can all be transformed into each other.
An appointment with external participants cannot be transformed into another data record type.
- You can transform a phone call into an appointment.
If you schedule activities at a particular time, especially those that involve multiple participants, then it could well be the case that other activities have already been planned at this time. If this is the case with appointments, holidays, processes and phone calls then you will be informed by means of overlap warnings.
Appointments, holidays, processes and phone calls are normally all displayed in the calendar view.
You can see all your important data at a glance on the dashboard. Either you or your administrator can define which data records are to be displayed.
