E-mail window
Clicking New in the File menu of an e-mail view opens the Send new e-mail window.
In the majority of views and data record windows, the Send button is available with a drop-down list.
You create a new e-mail using the functions of the drop-down list. In the process, you insert either data record participants as recipients or include one or more selected data records from the view as attachments to the e-mail.
- In addresses and opportunities, you can also find e-mail addresses you want to write to directly in the Send drop-down list.
- With Reply, Forward in an e-mail view or an opened e-mail, you open the respective windows with the corresponding function.
- You forward multiple e-mails by selecting more than one e-mail.
Archived Displays whether an e-mail has already been archived.
In an archived e-mail, the following function displays the data record of the archived e-mail, CAS genesisWorld Display the data record from the archived e-mail.
Using the Address Wizard you can record a lot of data for addresses almost automatically.
Any previously highlighted e-mail text is displayed in the Address Wizard window.
If CAS genesisWorld contains the address and photo of the sender of an e-mail, the photo is displayed in the e-mail. When you click the photo, the respective address data record opens even if you click in the preview.
If, however, an e-mail address cannot be clearly allocated to an address data record, it will not be possible to display a photo. For example, this occurs when an e-mail address is present in multiple data records or the spelling of the e-mail address differs from that saved in the address data record. If you click the sender's address and multiple address data records are available that contain this e-mail address, the address list displays the respective addresses.
Help with writing e-mails
E-mails in text or HTML format
You can write e-mails using either text or HTML text formats. Using HTML text format gives you the most formatting options. Photos and hyperlinks can only be inserted using HTML format. Text editing buttons are displayed on the toolbar above the text.
E-mails in text format with Unicode / UTF-8 coding are only displayed correctly if a Unicode character set is installed on your PC. When installing Windows, not all available fonts are installed by default to save disk space. Install a Unicode character set like Arial Unicode MS. Always set this font in Set font on the window's Display tab > Settings > E-mail.
Selecting a format
- In the Format menu of the e-mail window select the E-mail format option.
- Choose one of the following options: Text or HTML text.
Using the buttons on the toolbar you can use the CAS genesisWorld editor.
Automatically inserting a form of address
Create a new e-mail and enter one or more recipients or select recipients over the To button.
On the toolbar above the e-mail text, you will see the Insert form of address button. With this button, for example, you can insert a form of address such as Dear Ms. Kaiser, if monica.kaiser@firma.de has been entered as the recipient's e-mail address.
- If exactly one address with this e-mail address is available for a recipient in CAS genesisWorld, the fields (e.g. First name) or input help options (e.g. title) are found. Then the drop-down list contains
form of addresses that match the gender and the name of the recipient, and
non-gender specific salutations.
- If several addresses are found in CAS genesisWorld, fields, for example, first name or title, cannot be included anymore. Then non-gender specific salutations are displayed.
- Non-gender specific salutations are also displayed if the recipient does not exist as CAS genesisWorld address or if several recipients are entered in the e-mail.
Notes for the administrator
As administrator, you create the EMailAddressLettersDE.txt file in the ..\CAS genesisWorld\Server\EMailAddressLetters folder. In this file, you can enter the desired salutations. Information from address fields can be inserted as field variables.
This file can be created for each CAS genesisWorld language. The client language is always defined by the language the user has selected.
Save e-mail as draft
With IMAP accounts, e-mails you have not yet sent, can saved automatically as drafts to folders of the same name.
- You can define how you do so in the settings.
When you write an e-mail and save it automatically, then the e-mail is saved as a draft every 90 seconds in the folder of the same name.
Drafts are saved in the background so that you can immediately carry on working. Normal saving takes place when you save an e-mail as a template.
- You can save a new e-mail as a draft manually by clicking Save in the File menu or by using the Ctrl + S key combination.
E-mail templates
- You can save templates for e-mails as for other data record types, however, there is one important difference:
Data protection plays a major role with e-mails, which is why e-mails are classed as personal data records. This also applies to e-mail templates. When creating an e-mail template, the Private external access right is set by default and cannot be changed.
E-mail receipts
You can request a notice of receipt from the recipient for each e-mail.
- Click Notice of receipt in the Tools menu.
- Select the corresponding option.
Requesting a notice of receipt is not possible with all e-mail servers.
CAS genesisWorld works with the DSN (Delivery Status Notification) method via ESMTP. The e-mail server must support this method. For example, Microsoft Exchange Server supports this method.
Send e-mail
Do you have more than one e-mail account? If this is the case, you can select the account you want to use to send the e-mail.
- For example, in the e-mail window, click the Display sender field in the View menu. Then, the Account drop-down list is also displayed next to the sender, you select the account you want to use from the list.
